Description

Duties and responsibilities

  • Perform general administrative tasks for the practice
  • Prepare legal correspondence
  • Prepare meeting agendas and distribute ahead of a meeting
  • Attend practice meetings and take minutes
  • Type minutes of meetings and distribute
  • Develop and maintain an efficient filing system
  • Manage Partner and professional diaries and arrange meetings accordingly
  • Make travel arrangements for the professional team (flights, care hire, accommodation, etc.)
  • Complete month end billing for the practice
  • Capture approved invoices onto CMS
  • Send invoices timeously to clients
  • Reconcile final accounts once matters are finalized
  • Follow up independently with clients on outstanding information and actions
  • Follow up on outstanding payments with debtors
  • Dictaphone typing as and when required

Skills and knowledge

  • Strong administrative skills
  • High level of initiative and proactiveness in the administration of the practice
  • Able to work under pressure and can prioritise
  • Advanced MS office suite skills
  • Knowledge of CMS (Legal accounting systems)
  • High level of precision and attention to detail
  • Typing speed of 50 WPM and accuracy
  • Litigation experience
  • Ability to handle all accounting systems and issues
  • Flexibility with respect to time & work (may be required to work outside office hours)

  • Matric or equivalent qualification
  • Secretarial or administration diploma would advantageous
  • More than 5 years relevant experience
  • Experience of working in a law firm would be advantageous
